What type of personal information I collect
I currently collect and process some or all of the following information:
- Personal identifiers, such as your name, postal address, telephone number, e-mail address and bank details.
- You may also choose to provide me with additional personal information in the form of the source material for translation (medical report, degree transcript etc.).
How I get your personal information and why I have it
Most of the personal information I process is provided to me directly by you for one of the following reasons:
- To provide my services, such as when I use your information to fulfil your order, to settle disputes, or to provide customer support.
- To issue an invoice for payment of the service.
I may also receive personal information indirectly, from the following sources in the following scenarios:
- Personal information that is present on the source document that you provide me for translation, e.g. medical information, educational history. In these circumstances the information is needed for me to provide the translation service. Such information will not be disclosed to any third parties and can be deleted on request, once the service is complete.
Information Sharing and Disclosure
Under normal circumstances, I will never share or disclose your personal information to any third party. I share your personal information only if compliance with the law requires it. I may collect, use, retain, and share your information if I believe in good faith that it is reasonably necessary in order to:
(a) respond to a legal process or government request
(b) enforce my terms
Under the UK General Data Protection Regulation (UK GDPR) the lawful bases I rely on for processing this information is:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting alison@hctranslations.com
(b) The legitimate interest of accurately and fully translating your source document and delivering it to you by the method specified (postal address, e-mail address).
How I store your personal information
I retain your personal information only for as long as necessary to provide you with my services and as described in my Privacy Policy. Your information is securely stored. I generally keep your personal data for 3 years. I will then dispose of your data by deleting it from my computer and destroying any hard copies.
Your data protection rights
Under UK data protection law, you have rights including:
- Your right of access. You have the right to ask for a copy of the personal information I hold about you.
- Your right to rectification. You have the right to ask me to rectify personal information that you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.
- Your right to erasure. You have the right to ask me to erase your personal information in certain circumstances.
- Your right to restriction of processing. You have the right to ask me to restrict the processing of of your personal information in certain circumstances.
- Your right to object to processing. You have the right to object to the processing of your personal information in certain circumstances.
- Your right to data portability. You have the right to ask that I transfer personal information you provided to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
